As the Documentalist (OPS Documentation Service) at ESOC, you will support the activities of the Operations Documentation Service including administration of user access and privileges, maintain the ESA repository and ensure the correctness of the documentation used. 

Main Responsibilities

As Documentalist you will concentrate your activities on the following:

  • Manage and maintain SharePoint sites, including document and picture libraries, ensuring they are organized and up to date 

  • Administer folder structures and document metadata in Eclipse and SharePoint, ensuring proper categorization and ease of access 

  • Control user access and privileges across Eclipse, SharePoint, and ESA-specific tools, safeguarding data integrity and security 

  • Draft, update, and store procedures in an accessible repository, ensuring service-related processes are well-documented and compliant 

  • Monitor and facilitate the document approval process, ensuring timely reviews and compliance with ESA standards 

  • Upload, register, and manage documents in the DMS (Eclipse/SharePoint), ensuring accuracy in metadata and adherence to specifications 

  • Liaise with technical teams to clarify document storage procedures and ensure proper document handling 

  • Distribute and control document changes, maintaining up-to-date records and ensuring proper communication with stakeholders 

  • Securely store classified documents, ensuring compliance with encryption and storage protocols 

  • Archive documents systematically, performing regular reviews to ensure all necessary documents are appropriately stored 

  • Support project teams with DMS-related inquiries, providing guidance and resolving issues efficiently 

  • Generate and present reports on document management activities, including archiving and document status updates 

  • Facilitate formal documentation exchanges between ESA and industry partners, managing access rights and ensuring proper documentation flow 

  • Assist with internal and external audits, providing necessary documentation and reports as required 

  • Coordinate internal training sessions related to document management and the use of DMS tools 

  • Participate in regular team meetings, providing updates on progress and discussing relevant topics 

Successful Candidate

Do you think you are the person we are looking for? See below what experience or knowledge you should bring:

  • Bachelor’s degree in business administration, Information Management, or a related field. 

  • 3-5 years of experience in document management or a similar role. 

  • Proficiency with Document Management Systems such as Eclipse and SharePoint. 

  • Strong MS Office skills, particularly in Word, Excel, and PowerPoint. 

  • Experience with Adobe Acrobat Pro for document formatting and editing. 

  • Excellent organizational and documentation skills, with a keen attention to detail. 

  • Strong communication skills and a customer-focused approach. 

  • Ability to work efficiently and independently in a diverse, international environment. 

  • Proactive in suggesting improvements and open-minded to new approaches. 

  • Fluency in English; additional language skills, particularly in German, are a plus. 

  • Familiarity with KPI-based contracts and facility management benchmarks is advantageous. 

  • All candidates must be eligible to work in the EU.

Darmstadt, Germany, offers a central location in Europe, making it an ideal base for travel and business within the EU. Serco GMBH offers relocation support for all EU passport holders that are planning to relocate to Germany and work for ESOC.
