Job Introduction

Serco is a partner of choice to the European Institutions and other International Organisations. For the past 30 years, we have been providing European and International Organisations a wide range of services including ICT services in support, infrastructure, operations and development as well as managing different contact centres for the key European Institutions, agencies and organisations across Europe.

We are currently seeking an experienced and dynamic time Secretary to Head of NMD/NOM Division to join our team. 

 

Main Responsibilities

The NMD/NOM division is currently staffed with more than 200 Headcount and it will be increasing to more than 250 Headcount by January 2026 with the Group EAD integration. There is currently no Secretary to the Head of NMD/NOM


  • Signature and Follow-up of specific decisions,
  • Follow up of HR special requests
  • Follow-up of staff Chronotime
  • Follow-up of IT requests
  • Proactive EXMA Entry/Exit mangement
  • Visitor Access management
  • Reception desk pick up
  • Meeting bookings and catering
  • Support Head of NMD/NOM with meeting bookings, meeting preparation, document management and missions

Successful Candidate

Educational requirements

Mandatory:

  • Graduate degree (Bachelor or Equivalent)

Desirable:

  • Specialisation in Business, business support, general office administration

 

Language Requirements:

Mandatory

  • English oral and written fluency
  • French oral and written fluency

Desirable

  • Any other language will be seen as an advantage


Technical/professional qualification

Mandatory: 

  • Microsoft Office 365 Proficency
  • Document management
  • Calendar and schedule coordination
  • Meeting Preparation (agenda, minutes, logistics)
  • Travel planning and logistics coordination

 

Desirable: 

  • Use of digital collaboration tools ( e.g. teams, sharepoint)

 

Experience/skills required

  • At least [5] years’ experience in the domain of secretariat, office administration or similar assistant position.

 

Other requirements (personal characteristics)

Mandatory

  • Ability to work in a multi-cultural team
  • Ability to handle confidential or sensitive communication with discretion and trustworthiness
  • Ability to collaborate with colleagues and executive management


Required documentation

  • Detailed resumes of the proposed candidate(s)
  • A copy of the relevant certificates (e.g. diploma, B.Sc., M.Sc.)
  • Certificate demonstrating required CEFR level from a recognised English language proficiency test (e.g. TOEFL, IELTS, Cambridge English Exams, EF SET, Avant STAMP)
  • Description of past experience and projects performed
  • A presentation of the company and of the material and human resources available
