Main Responsibilities
As Facility Management Administrator you will concentrate your activities on the following:
- Support to supervision and performance evaluation of the services provided by the FM Service contractor
- Support to supervision, review and quality control of the annual preventive maintenance plan as prepared and performed by the outsourced FM Service contractor on site
- Support to supervision and quality control of the preventive and corrective maintenance activities performed by the FM Service contractor on site, and assessing the quality of the performed works against the agreed quality levels
- Managing of customer service request
- Provision of support for the project management related to the Estates and Facilities
Management domain:
- Support for the preparation of the technical description and specifications of the work to be performed, including Statement of Works
- Support to the procurement processes via tender or purchases in collaboration with the procurement/contract team in ESA
- Support to the evaluation and negotiation processes
- Technical, Financial and timeline monitoring of the implementation phase
- Active support to the investigation and analysis of technical failures, identification of corresponding technical solutions and participation to the quality control of the implemented remedial actions.
- Support to the manage/execute the ESEC ISO management systems Ad-hoc support to ESEC EFM Site Manager
Deliverables:
- Monthly report
- Monthly performance analysis of the ESEC FM Service Contractor
- Analysis of the ESEC FM Service Contractor monthly report.
- Financial analysis of the ESEC FM Services contract in co-operation with the Cost controller
- Project inputs (specifications, technical and operational requirements, etc) on request
- Review/ updates of procedures and documents of the ESEC ISO Management Systems.
Successful Candidate
Do you think you are the person we are looking for? See below what experience or knowledge you should bring:
- Master Degree in Electrical- or Mechanical Engineering with a minimum of 4
years of experience - At least 2 years of experience in building infrastructure and/or facility
management - Good knowledge of the applicable norms and legislation in the European Union
- Good knowledge of the applicable norms and legislation in Belgium is
considered as an asset - Analytical skills
- Strong interpersonal and organizational skills, team spirit, with a real capability
and willingness to learn and work in an international environment - An excellent command of the English language is required
- Basic command of the French language is required
- Good knowledge of MS Office software applications (Excel, Word, PowerPoint,
MS Project) - Ability to work with the ESA Computer Integrated Facility Management
software (CIFM) based on the Archibus software is considered as an asset
