Executive Assistant (French & English Mandatory language requirements) - Serco Europe

We’re looking for an Executive Assistant, to support the Managing Director. The Executive assistant will be on our Brussels site, with some travel as required.

This role is highly visible and varied, providing a comprehensive and confidential support to the MD Europe. The role will be the pivotal point of the MD’s daily movements and business management. The high-level administrative support you provide will enhance the effectiveness of the Managing Director & Senior Leadership Team in Europe.

Role Responsibility

As Executive Assistant you will be responsible for:

  • Provision of administrative and organisational support to the MD Europe and Senior Leadership Team (SLT) as required.
  • Organise travel, and accommodation for the MD Europe (and SLT as required).
  • Manage the MD Europe’s schedule, calendar, and rescheduling requirements.
  • Manage the MD Europe’s email inbox.
  • Production of monthly reports for the MD Europe including BPRs
  • Compile the MD Europe’s monthly expenses.
  • Arrange and attend all SLT meetings, take minutes/actions and distribute to all attendees by agreed timeline post meeting.
  • Coordinate and distribute SLT papers in advance of SLT meetings twice monthly.
  • Arrange and attend monthly Risk and Compliance meetings, take minutes/actions and distribute to all attendees by agreed timeline post meeting.
  • Coordinate and distribute Risk and Compliance papers in advance of monthly meetings.
  • Provision of administrative and organisational support for the Europe Strategy Projects as required by the MD Europe or SLT.
  • Organise and attend yearly management conferences.
  • Deputise for the Office Manager as required.
  • Essential for the post holder to be able to regularly travel around Europe, including overnight stays as required.
  • Due to the nature and requirements of the role, this is a full-time, permanent position.

Successful Candidate

Qualifications

  • The Executive Assistant will be able to demonstrate relevant skills & experience applicable to general business and/or the Europe industry.

Technical

  • Excellent computer and typing skills inclusive of Microsoft Word, Excel and PowerPoint.
  • Use of Serco specific software e.g. SAP, MyHR, Concur Travel etc.
  • Administrative and organisational systems and processes.

Knowledge & Skills

  • Proactive, self-motivated, and able to work independently
  • Working within an administrative environment
  • Strong communication skills, both written and verbal
  • Tact and diplomacy
  • Discretion and trustworthiness
  • Understanding of Data Protection
  • Diary management
  • Experience of working in a fast-paced environment

Additional / special features of the role:

  • Flexibility of working hours including the ability to travel UK wide with overnight stays as required
  • Excellent organisational ability with excellent time management skills and the capacity to work independently to undertake tasks with initiative and discretion.
  • The post holder must have the ability to prioritise tasks.
