Job Introduction

You will assist in providing support for the recruitment process. Including reporting, on-boarding of new personnel, project staff and identification of candidates for inclusion in proposals or other new business submissions. You will also help to manage the documentation of the different staffing needs of our clients (EU institutions).

Training Programme

Initially you will experience a number of workplace sessions and technical trainings.
These focus on workplace skills including ; teamwork, communication and commercial awareness. Along with an induction to Serco Europe’s Recruitment team you will also gain an in depth understanding of the different Directorates-Generals and EU Agencies. We also operate a ‘Buddy’ system which means that from the first day you will assigned to an experienced Recruiter Administrative Officer who will help you settle into life at Serco Europe, introduce you to your colleagues and ensure you are trained and capable of providing support to the team.

Your progress will also be overseen by the Recruitment Team Leader who will meet with you on your first day with the experienced Recruitment Administrative Officer to set your objectives and continuously monitor your progress over the three month term, they will also be responsible for your final review process

 

Main Responsibilities

The key person will be responsible for:

 

  • The ‘Administrative Support’ Intern provides daily support to all team members.

  • He/she will support multiple projects in the DIGIT TM portfolio.

  • The duties include the performance of general administration, reporting  and specific tasks for the projects.

  • The specific tasks assigned to this duty mainly comprise the preparation of various types of formal project-related documents.

  • Management and optimalisation of the Business Management Software system, including CRM, e-commerce, etc...

  • Provide CRM related information on request to the team.

  • Record Candidate and Customer communication on the internal Database system.

  • Support in overseeing performance reporting (Excel and Internal systems), ensuring accuracy of data.

  • Ensure the proper setup and follow up of team meetings.

  • The duty includes the proper capturing of important discussion items, preparation of minutes and follow up of any logistical arrangements and preparation of meetings.

  • Any other additional tasks related to the projects or the overall management of the portfolio.

Successful Candidate

You must currently be enrolled in a study program related to Office Management or in Administration, eligible to complete an internship.

Knowledge and skills:

  • Demonstrable experience in administration and office management within a fast paced, high demand environment.

  • Ability to follow existing administrative procedures and understand the underlying processes, whilst continuously exploring opportunities for process improvement.

  • Strong ability to modify/produce documents, ensuring they are accurately aligned to specific customer requirements.  

  • Excellent communication and relationship building skills.

  • Experience in CRM software

  • Very good knowledge of MS Office – particularly;

  • PowerPoint produce engaging/professional presentations.

  • Excel 

  • Well organised and resilient to pressure.

  • Excellent command of English 

  • Excellent command of French and/or Dutch with written ability

  • High level of attention to detail.
