Main Responsibilities

The Administrative Assistant will be part of a small team providing organisational and administrative assistance to the Operations Director and the business. The role will also provide a key point of contact within the Business Unit for all key operational stakeholders.

As Administrative Assistant you will be responsible for:

  •  External and internal events – supporting the team to create and coordinate events; assisting the wider administrative team.
  •  Meeting booking, planning and support, minutes of meeting, general correspondence.
  • Support with and preparation of presentation material for management.
  • Project management of smaller internal projects, e.g., event planning.
  • Travel planning.
  • General administrative support and assistance for the Operations Director.
  • Support in the optimization, implementation and integration of tools, activities and processes.
  • Pro-active follow-up on requests, open to do´s, tasks.
  • Corresponding with clients.
  • Conducting research.
  • Drafting of correspondence.
  • Creating and tracking actions and writing minutes.

Successful Candidate

Do you think you are the candidate we are looking for? See below what experience or knowledge you should bring:

  • Demonstrable experience in an office support role, preferably within a professional services environment.
  •  Impeccable attention to detail and excellent organisational skills, with the ability to manage multiple projects and deadlines.
  • A professional demeanour with a positive attitude and mind-set; calm under pressure.
  • Fluent (both written and spoken) in German and English.
  • You have excellent communication skills and interpersonal skills. 
  • Are a self-motivated team player, flexible and willing to learn. 
  • Experience from a similar position working with senior stakeholders
  • Professional experience in all Microsoft Office programs (especially Powerpoint, Outlook, Excel, Word).
  • Experience in preparing high quality presentations.
  • Experience in travel coordination and meeting planning.
  • Strong planning and organization skills, highly organized, accurate and ability to prioritize workload and deadlines.
  • Work effectively, efficiently and demonstrate a positive attitude with high integrity.
  • Ability to work collaboratively at all levels of the organization.
  • Discretion and confidentiality required.
  • The ability to be proactive and take the initiative.
  • Proficient in MS Office, Excel, Visio and strong MS Power point skills.
  • Strong IT skills and able to take on role of superuser for the internal systems
  • Excellent organisational and prioritisation skills to achieve timely results.
  • Ability to handle all confidential issues professionally.
  • Strong relationship management within the team and across divisional boundaries and able to demonstrate a clear knowledge on the purpose and vision of the German Business operational priorities.
  • ‘Can Do’ attitude, willing & able to provide practical assistance or project support to the capabilities as required.
  • Excellent written and spoken communication skills.
  • Fluency in English and German language.
