On behalf of our client, the European Space Agency (ESA) we are currently looking for a dynamic and skilled Travel Cost Settlement Service Manager to join our team of experts and support their ​Financial Operations Section, on site at the esteemed location in Noordwijk, the Netherlands.

This Service will support the ESA staff journeys by working with travel agencies, car rental companies, credit card providers, auditors, CASP/CANG and IT application support (in addition to travellers, internal and external and their assistants if applicable). You will be leading a team of administrators, and you will work close with the management of the client to ensure that all KPI’s for the service are delivered.

Main Responsibilities

As a Travel Cost Settlement Service Manager  you will concentrate your activities on the following:

  • Active monitoring and control over the service team to ensure that the service conforms to the service’s requirements.
  • Communication with all stakeholders and within the service team.
  • Regular interfacing with the ESA Technical Responsible and/or designated supervisor on the tasks, quality of works performed, KPI’s, any issues, risks and proposed resolutions.
  • Define, produce and maintain a repository accessible by the ESA Technical Responsible with all the procedures necessary to provide the service.
  • Define, produce and maintain FAQ repository and deliverables accessible by the ESA Technical Responsible.
  • Proposition of updates and improvements to the IT tools.
  • Verification that the travel claim is approved by all relevant stakeholders.
  • Verification that the sundry claims are requested in line with internal procedures.
  • Validation of the accounting of travel cost recorded in the claim.
  • Calculation of the travel claim (total duration per country) in accordance with internal Regulations Rules and Instructions.
  • Collaborate closely with the Accounts Receivable team.
  • Settlement and validation of all claims in the software applications used for ESA travel management.

Successful Candidate

Do you think you are the person we are looking for? See below what experience or knowledge you should bring:

  • A Bachelor’s degree in a relevant field.
  • At least 2 years of relevant work experience.
  • Experience in providing a customer-oriented service with an eye for processing and workflow.
  • In-depth knowledge of financial accounting and experience in Accounts Payables.
  • Familiarity with modern office automation tools and techniques, in particular Microsoft Office or equivalent, as well as customized database and software applications.
  • Experience as a user of SAP and in particular ECC module and familiarity with relevant ESA corporate applications is an asset and preferably experience with/knowledge of SAP Concur.
  • Capacity to identify priority actions and to handle high workloads.
  • Conflict management skills.
  • Excellent interpersonal skills are needed, together with a high degree. organizational and communication abilities to be client focused.
  • Comfortable with working in a diverse and multinational team environment.
  • Ability to work independently and establish good working relations with relevant actors in ESA and Industry.
  • Fluency in English, both written and spoken.
  • A good working knowledge of French is an asset.
  • Candidates must be eligible to work in the EU.
