Main Responsibilities
The Reporting and Administrative Support Officer is part of the Coordination Office in the ESA Human Spaceflight and Robotic Exploration Directorate (D/HRE), covering the following main tasks:
- Preparing the Directorate’s formal reports to the ESA Council, Programme Boards and other Delegate bodies In addition it supports the internal information flow for the Directorate as required;
- Collect, draft, prepare, revise, integrate and follow the approval process of the Directorate’s: quarterly reports to Council and PB-HME; input to DG’s Oral Report to Council;
- Prepare the Directorate’s inputs to ESA publications, such as the quarterly ESA Bulletin and the ESA Annual Report;
- Support the Secretary of the PB-HME and PB-HME/EUB in the coordination, and publication of documents (papers) prepared by the ESA Executive, as well as the organisation of the meetings;
- Establish and maintain an archive of the above mentioned documentation;
- Support the organisation of meetings under the responsibility of the Coordination Office (e.g. HESAC, bilateral meetings with Delegations);
- Coordinate timely delivery of Monthly Reports of HRE Departments and Support Offices to D/HRE;
- Prepare the Executive Summary of the Monthly Reports.
Successful Candidate
- Master’s Degree (or equivalent) in a technical or scientific discipline;
- Ability of working autonomously in preparing all reports in time. Anticipate and adhere to all official deadlines;
- Ability and willingness to work to demanding deadlines;
- Strong attention to detail and an excellent command of the English language, especially written;
- High administrative, organisational and communication skills.
- General interest in and understanding of HRE programmes contents;
- Ability to generate high-quality reports and PowerPoint presentations;
- High degree of computer literacy - Microsoft Office software, particularly Word, PowerPoint and Excel;
- Proven experience (minimum 5 years) in a similar function within a multinational, public-sector organisation would be an asset;
- Extensive knowledge of the ESA Human Spaceflight and Robotic Exploration programmes and related activities;
- Extensive knowledge of the ESA advisory structure relating to Council, Programme Boards and Advisory Boards / Committees.
