Job Introduction

Subject to a new contract win – Serco are recruiting a small team of professionals to provide soft and hard FM services to a large international organisation in Geneva.

Serco have proven experience in delivering Facility Management services to Government institutions throughout Europe, in this instance we seek to provide an effective FM solution that not only delivers the highest standard of service from the first day, but is also objectively monitored, measured and continuously improved throughout the long duration of the contract.

The HQ in Geneva is c30,000 m2 and home to 800 staff, Key services within this contract include - FM Management, Caretaking and building management, Service Support, cleaning and Mail room support.

Role Responsibility

  • Take into account and apply all the procedures/instructions of the working instructions from the Building Management Unit
  • Liaise with UNOG, DHL and Swiss Post as required
  • Process receipts and deliveries of goods to final consignees in accordance with the procedures in place and with systematic registration
  • Assess, treat and distribute postal and registered mail according to the procedures
  • Register and ensure traceability of incoming and outgoing mail/parcels
  • Provide archive services for monthly receipts, emails, listing of distributions etc.
  • Give advice and assistance to employees at all sites as needed
  • Ensure inventory tracking procedures are followed and ensure permanent supply of paper stocks (Paper reprographic, envelope templates, letterhead, letter continuation, white paper (A4 / A3), etc.)
  • At the end of each month, take stock of the paper stocks in the support areas and in the stock room with update of the stationery stock tracking file.  Control of the normal appearance of equipment related to handling
  • Administrative management of all documents related to logistics
  • Collection of the contents of the cartridge receptacles/toners, reprogramming and packaging of waste in the transport receptacles provided (PPE to be used where appropriate)
  • Management of the space of the storage area
  • Stock management, including ordering
  • Continuous update of the list of contact details of suppliers in collaboration with the Building Management Unit
  • Pay daily attention to the working environment with regards to the prevention of risks, safety, hygiene and health at work, but also to equipment/technical facilities and the cleanliness of the premises

Successful Candidate

Skills Know

  • Qualification and/or experience in logistics and sorting and package operators/couriers
  • Organization and planning of a route
  • Able to carry out the various tasks in an efficient way by adopting appropriate operating procedures

Know how to do

  • Collect, process and transmit information orally and in writing
  • Proficient in MS Office tools (Word, Excel)
  • Comprehension and rigorous observance of written or verbal work instructions
  • Rigorous manager (administration, keeping and precision of files etc ...)
  • Able to communicate easily and diplomatically with the client's employees
  • Be rigorous and methodical, available at peak times
  • Is reactive, methodical, sense of service
  • Organized, responsive and adaptable
  • Positive and enthusiastic attitude in all circumstances

Know how to be 

  • Respect the rules of environment, hygiene and safety
  • Know how to alert management to any problem
  • Enhance Serco's image with the customer's employees
  • Respect the rules of confidentiality, anti-corruption, code of conduct and ethics of Serco and those of the customer
