For 2017 we anticipate further growth in our operations in ESTEC and as a result we are pleased to announce the following opportunity.

Main Responsibilities

  • Support to the ESA Human Resources Department in a variety of HR processes;
  • Work autonomously as the main contact point for a defined number of directorates;
  • Work closely with the Human Resources Advisors and regularly interface with colleagues from other HR Services and with external interfaces;
  • Ensure that activities are performed according to HR processes and the Agency's Staff Rules and Regulations; 
  • Recruitment of all categories of staff, from the preparation of vacancy notices, to the approval of the recruitment proposals;
  • Follow-up and timely preparation of probation reports and contract extensions;
  • Reassignment letters and critical review of Terms of Reference;
  • Administering arrival and departure processes for all categories of Trainees (including preparation of contracts, extensions and departures letters);
  • Supporting induction activities, including the facilitation of Take-up Duty sessions;
  • Maintaining the organisational changes by updating the Organisation Management Module in HRMS SAP;
  • Generating ad hoc HR reports and statistics when requested;
  • Supporting one or more corporate programmes according to the needs of the service;
  • Recommending and actively participating in the improvement and consolidation of internal processes, procedures and tools related to the Recruitment Service;
  • Contract administration spanning over the whole career of the staff;
  • Verification of entitlements to allowances, indemnities and benefits;
  • Generation and maintenance of payroll inputs;
  • Administration of working time and leave;
  • Preparation of statements;
  • Coordination of the Annual Social Benefits Questionnaire exercise;
  • ESTEC contact point for Cigna-related queries;
  • Administrative lead in relation to one or several international schools;
  • Settlement of Launch Campaigns;
  • Data input to several concurrent IT systems, mainly SAP Human Resources Management (including Success Factors), electronic staff files, Team Site, etc.;
  • Actively suggest improvements of internal processes and tools related to the different services.
     

Successful Candidate

  • University Degree (minimum Bachelors level);
  • Previous experience with human resources administrative processes, and/or HR administration preferably within an international environment;
  • Ability to work autonomously, as part of a team and as the main contact point for a defined group of staff and managers;
  • Ability to interpret and explain ESA rules and procedures;
  • Proven experience in the use of various IT tools running in parallel;
  • Good communication skills in English with the ability to draft written correspondence in English;
  • Strong organisational and time management skills with a proven ability to prioritise;
  • High level of accuracy, attention to detail and follow up;
  • Positive attitude and customer service focus, maintaining ESA’s professional reputation;
  • Resourceful approach to problem solving;
  • Excellent sense of discretion and confidentiality;
  • Strong work ethic and flexibility to work under pressure in a fast paced environment;
  • High degree of self-motivation, energy and the ability to work both independently and as part of a team.
