On behalf of our client, the European Space Agency, we are looking for a skilled Documentalist  to join our team at the esteemed ESA-ESTEC site, in the Netherlands. The Documentalist plays a crucial role in managing and maintaining the integrity of documents, ensuring their effective registration, distribution, and archiving. This position supports the European Space Agency's mission by facilitating seamless access to critical documentation, enhancing project reviews, and contributing to the continuous improvement of document management practices. Please note that this role is offered as a fixed-term contract for 1 year.

Main Responsibilities

As Documentalist​ you will concentrate your activities on the following:

  • Regular review of the status of documents in the different archives and where appropriate register this information in the DMS database.
  • Document registration, distribution and archiving, as well as provision of reproduction services.
  • Process configuration controlled document changes and of official papers relevant to the activities of the unit.
  • Supporting users for retrieving documents from local DMS, DMS’s from external partners and/or industry, out of paper archives, other sources like ESTEC library, scanned documents on CD-ROM or via Internet, etc.
  • Provision of paper copies of electronic documents on request, creation of electronic versions of documents.
  • Management of original files.
  • Related support to project reviews.
  • Support to enhancements of the document management concepts and of future improvements.

Successful Candidate

Do you think you are the person we are looking for? See below what experience or knowledge you should bring:

  • A bachelor’s degree from a recognised Institution of secondary studies or equivalent qualification in Business Administration (or Communications as relevant).
  • At least 4 years of previous relevant work experience in a similar role.
  • The candidate should have a broad knowledge to navigate around and understand formal communication and be able to analyse a range of issues within the complex institutional environments of ESA, EU and the relevant industrial landscape.
  • Experience in documentation management and in the field of communication.
  • A good sense of organisation.
  • The work associated to this position can require handling of classified documentation.
  • Be capable to execute activities with a high degree of autonomy.
  • Deliver qualitative output under time pressure.
  • Excellent interpersonal skills are needed, together with a high degree organizational and communication abilities, and comfortable with working in a diverse and multinational team environment.
  • Proficient in the English language, both written and spoken.
  • Knowledge of another EU member state language is an asset.
  • Candidates must be eligible to work in the EU.
