European Space Operations Centre (ESOC), Darmstadt, Germany, tracks and controls European spacecraft, and develops and manages ground systems. As Europe’s centre of excellence for satellite operations, ESOC is home to the engineering teams that control spacecraft in orbit and build the systems on the ground that support missions in space.

Role Responsibility

As Documentalist you will concentrate your activities on the following:

You will be in charge of the overall maintenance and administration of the Documentation system and of ensuring a satisfactory service to the end users according to the respective procedures. Additionally, you will manage the SharePoint team sites of the organisational unit and provide support on any related matter.

Furthermore, You will be in charge of:

  • Document registration, distribution and archiving documentation in DMS (ECLIPSE);
  • Handling of requests for documents and reference generation;
  • Creation and Management of SharePoint team sites and Document Libraries;
  • Sites Contents Management;
  • User’s Management (access control and creation of new accounts);
  • Assisting project team members in DMS and SharePoint related matter.

Additionally, You might have the following tasks:

  • Manually inserting any documents into the DMS/ECLIPSE (i.e. both DMS and SharePoint) as per applicable specification;
  • Registering the information pertaining to any document archived into the DMS/ECLIPSE according to applicable procedures or dedicated specification;
  • Distributing any new document in the DMS/ECLIPSE to the corresponding list of addresses;
  • Archiving of any document in the archive repository as per applicable specification;
  • Interfacing with the technical responsible and any subsequent staff reporting to the technical responsible in order to get any necessary detail on how and where to store any document, if not sufficiently defined as part of the applicable ESA procedures;
  • Managing formal documentation exchanges between ESA and Industry, including management of the access rights of ESA-internal & -external entities. 
  • Regularly reviewing the status of any document in the different archive repositories under the responsibility of the technical responsible;
  • Assisting project team members in DMS related matters, ensuring the documentation is in compliance with ESA procedures.
  • Ensuring that all documents are available to auditors within 4 hours from the request;
  • Providing tracking lists of the archived documents;
  • Providing input/explanations to both ESA internal auditors as well as external auditors, upon request;
  • Defining, producing and maintaining in a repository accessible by ESA all the procedures necessary to provide the service.

Successful Candidate

Do you think you are the person we are looking for? See below what experience or knowledge you should bring:

  • Document management experience;
  • Ability to think and work in a structured way, combined with excellent organizational skills;
  • Attention to detail, reliability, rigor and initiative in the execution of the assigned tasks;
  • Demonstrate good communication skills, paired with a distinctive customer focus and be a strong team player;
  • Good knowledge of the Agency’s corporate software tools, in particular the Eclipse DMS and SharePoint, is an asset.
  • Fluency in English, both speaking and writing.
  • University degree in a relevant field.
