We are seeking a Documentalist to work on our Customers Site (ESA-ESTEC) in the Netherlands. This is a fantastic opportunity to get into one of the most sought-after space agencies in the world.
This service supports ESA's Project Management Offices and Organizational Units by managing documents, ensuring proper configuration control, and handling administrative tasks. It also provides user support for electronic tools and contributes to Terrae Novae, ESA’s Human and Robotic Exploration program, which focuses on exploring Low Earth Orbit, the Moon, and Mars. The goal is to ensure efficient documentation and data management to advance ESA's exploration efforts.
Main Responsibilities
As a Documentalist you will concentrate your activities on the following:
- Preparing, formatting, and managing ESA reports, ensuring correct version control and archiving.
- Supporting coordination, review, and publication of documents for the Programme Board and other ESA activities.
- Proofreading, formatting, and editing documents to ensure consistency and clarity.
- Creating and updating document templates to meet standards.
- Planning, coordinating, and tracking document submissions to meet deadlines.
- Producing and editing flowcharts, graphics, and other document content.
- Safeguarding and publishing documents with the correct security measures.
- Managing archives and preparing data packs for external partners (e.g., EC, International Partners, Member States).
- Following up on approval processes and ensuring documents meet requirements.
Successful Candidate
Do you think you are the person we are looking for? See below what experience or knowledge you should bring:
- A Bachelor’s degree in Business Administration, Communications, or a related field.
- At least 4 years of experience in documentation management or a similar role.
- Strong organizational skills and familiarity with formal communication in complex environments (ESA, EU, industrial sectors).
- Experience handling classified documents is a plus.
- Eligibility and willingness to apply for an EU Personal Security Clearance (existing clearance is an advantage).
- Ability to work independently and deliver high-quality work under time pressure.
- Excellent interpersonal and communication skills with a professional attitude.
- Proficiency in English (written and spoken)
- Knowledge of another ESA member-state language is a plus.
- Familiarity with ESA systems and tools is beneficial.
- EU work eligibility is required.
