Main Responsibilities
The successful candidate will be in charge of the overall maintenance and administration of the Documentation system and of ensuring a satisfactory service to the end users according to the respective procedures. Additionally, they will be involved in the planning and re-planning of yearly activities, the proactive management of all users of the service (missions in preparation and in flight), and will be coordinating with the team regarding the upcoming Flight Operation Procedures (FOP) updates requirements.
Furthermore, the successful candidate will be in charge of:
• Maintaining the request schedule of FOP Updates;
• Constant updating all necessary documents that the Flight Control Team need prior a FOP release;
• Maintaining distribution lists for future updates;
• Publishing (creating, editing, comparing, converting, exporting) the FOP using specialized applications software;
• Printing to paper the FOP to specific criteria;
• Distributing the FOP paper copies on site;
• Constantly improving the FOP generation techniques;
• Periodically running consistency checks of the FOP;
• Attending weekly Sprint Meeting to discuss future FOP publications for the upcoming weeks;
• Updating the MS ACCESS FOP Database.
Additionally, the Key Person might have the following tasks:
• Interfacing with the technical responsible and any subsequent staff reporting to the technical responsible in order to get any necessary detail on how and where to store any document, if not sufficiently defined as part of the applicable ESA procedures;
• Manually inserting any documents into the DMS/ECLIPSE (i.e. both Documentation Management Systems and Sharepoint) as per applicable specification;
• Distributing any new document in the DMS/ECLIPSE to the corresponding list of addresses;
• Archiving of any document in the archive repository as per applicable specification;
• Regularly reviewing the status of any document in the different archive repositories under the responsibility of the technical responsible;
• Registering the information pertaining to any document archived into the DMS/ECLIPSE according to applicable procedures or dedicated specification;
• Providing a print out of any electronic document as per applicable specification;
• Creating electronic versions of documents as per applicable specification;
• Keeping all documents for the whole duration of the service, unless otherwise specified;
• Ensuring that all documents are available to auditors within 4 hours from the request;
• Providing tracking lists of the archived documents;
• Providing input/explanations to both ESA internal auditors as well as external auditors, upon request;
• Defining, producing and maintaining in a repository accessible by ESA all the procedures necessary to provide the service.
Successful Candidate

- Documentation / Librarian experience
- Experience maintaining schedules;
- Updating documents, Maintaining distribution lists, Publishing (creating, editing, comparing, converting, exporting) applications software;
- Updating Databases.
- Interfacing with the management & technical responsible
- DMS/ECLIPSE desirable, but not essential
- Documentation Management Systems and SharePoint
- Experience working at ESA/ESOC desirable, but not essential
- Experience working with internal auditors as well as external auditors, upon request
- Fluency in English, both in speech and writing.
- University degree in a relevant field.
