Back Office Administrator - French / English speaker

Role Responsibility

Responsibilities

Your role as Back office administrator, will form part of a team who manage the company’s back office contractual operations end to end process, ensuring all required business outcomes are met and compliant with comprehensive internal and external processes and best practice - while providing support on administrative duties.

Daily tasks

Verification of timesheets Serco employees / partners

Verification of days worked as shown on timesheets against our contract administration tools using

(OTEAM/SD Worx)

After verification, update days worked in OTEAM where necessary 

Verification of balance of remaining days on timesheets

Verification of Specific Contract number of service providers timesheets VS OTEAM and Monthly performance lists

Verification that both service providers and customer have dated and signed timesheets

Compilation et filing in preparation of quarterly invoicing

Verification of timesheets validity against Specific Contract validity date

Follow up on return of timesheets needing correction 

Follow up of service providers who did not submit timesheets in a timely manner

Verification of invoices

Verification and validation of suppliers/partners/freelance invoices against timesheets received and transmission to Finance Department    

Follow up of suppliers/partners/freelancers of erroneous invoices

Compilation in preparation of invoicing (final verification of timesheets compliance and of order of invoicing, whether quarterly invoicing or invoicing upon completion, invoicing addresses etc…)

Other tasks

Follow up of incoming contracts (verification VS data input in our contract administration tools, signature, return to/from the customer)

Preparation of individual timesheets & transmission to on-site service providers (Serco employees)

Assistance with the encoding of offers of specific contracts and with planning in our contract administration tool (OTEAM)

Assistance with filing, copies, scans etc…
