Main Responsibilities
Working closely with the Bid Director, you will be responsible for delivering high-quality bids on time and within budget. This individual will be responsible for successfully navigating bids through the internal governance process and obtaining relevant approvals at each stage of the procurement. We are looking for someone with excellent bid writing skills and project and people management skills to bring all the elements of the bid (i.e. solution, finance and commercial, bid writing/production) together to produce winning submissions.
Main responsibilities:
Project Management
- To deliver high-quality bids on time and within budget
- To deliver end-to-end bid management including bid writing Develop bid management framework
- Create and implement project plan to deliver bid requirements on time
- Provide leadership to the bid team by chairing meetings/skype meetings
- Monitor bid progress against plan
- Produce bid budget, track and manage spend within allocation
- Ensure adequate resourcing for the opportunity, including management of external contractors
- Manage bid collateral and information sharing across the bid team
- To successfully navigate bids through the internal governance process and obtain relevant approvals at each stage of the procurement
- Prepare briefings to support smooth progression through gates
- Work closely with the Bid Director to outline structure and content of presentations for gates, black hats, etc.
- Present the opportunity with the Bid Director at internal meetings
- Maintain risk/issues/opportunities register
- Ensure risks, issues, etc. are recorded and the top risks/issues are shared at relevant meetings/reviews
- Track the completion of actions following meetings/reviews
- Ensure appropriate sign-off/approvals have been received for submissions
Customer relationship
- To act as a key point of contact for the customer
- Manage communications to / from the customer
- Develop positive relationship with the customer
- Respond to clarifications promptly and submitting questions as needed
- Share information from the customer with the bid team to inform proposals/approach
Sales
- To monitor competitors and stakeholders
- Conduct regular competitor/market intelligence reviews and stakeholder analysis
- Track key political developments relevant to the opportunity
- To ensure solution meets customer needs
- Conduct SWOT analysis
- Work closely with Bid Director and SMEs to review and challenge solution
- Scope out areas which add value to the solution (i.e. role of subcontractors/partners/etc)
- Seek stakeholder feedback on solution/submission
Successful Candidate
Knowledge, Skills and Experience:
- You are very likely to have at least a Degree or equivalent professional qualification, or be able to demonstrate strong intellectual capacity, including excellent literacy and numeracy.
- You are likely to have experience of:
- Bid writing
- Project management
- Delivering projects to tight deadlines
Key competencies:
- Fluent in English, Dutch and/or French
- Adaptable and flexible approach to team engagement
- Ability to think strategically and balance long- and short-term operational priorities
- Ability to manage multiple competing priorities within own workload effectively
- Ability to solve problems and complex issues in a timely manner
- Understand and interpret customer needs
- Good team worker, reliable and able to rapidly establish a high degree of trust, rapport and gain co-operation from the bid team
- Strong attention to detail; maintaining high standards for delivery, quality and accuracy
- Confident and articulate in all communications i.e. face-to-face, telephone and written communications
- Confidence to deal with all levels of seniority and the ability to adapt communication and messages to different audiences
- Self-motivated, self-disciplined and having the ability to work to tight deadlines, including some late working
- Demonstrates strong commercial acumen and ability to gather information to support commercial decisions
- Highly competent in MS Office software and relevant tools such as Project, Visio, etc.
Specific requirements:
- Security Clearance may be required at SC level Developed Vetting Clearance may also be required for some roles.
- Location may be flexible but with a probable Brussels base. It is likely that some bids will be run from elsewhere and you should be able and willing to travel. Some overnight stays are inevitable.
- English, Dutch and/or French languages needed.
