Administration Team Coordinator

We currently have an exciting opportunity for an Administration Team Coordinator based at ESOC, Darmstadt, Germany.

The position is open ONLY to staff already working in the GOF-9 IT Administration team.

Role Responsibility

We currently have an exciting opportunity for Team Coordinator based at ESOC .

The position is open ONLY to staff already working in the GOF-9 IT Administration team.

Main Responsibilities

The successful candidate should concentrate his/her activities on the following  tasks:

  • Manage a small team of administrators
  • Act as the line manager for the team
  • Perform regular catch-up sessions (appraisals) with the team
  • Ensure excellent service quality and performance
  • Monthly (and ad-hoc) service reporting
  • Act as an escalation point for the customer & internally 
  • Work as part of the team
  • Take on routine and ad-hoc administrative and office support activities;
  • Perform general administration tasks (e.g., organising business travel and training);
  • Maintain and validate financial data; Provide support to Controlling and Accounting activities;
  • Manage licenses from industrial vendors;
  • Maintain and perform consistency checks of databases; Support management of service contracts (e.g., preparation of response to Additional Service Requests from the customer);
  • Support procurement related activities (e.g., GRN check, triggering renewals, amending POs);
  • Support customer in Supplier Management incl. correspondence;
  • Support customer in regard to Cost Centre Management; Compile reports for the customer.

Successful Candidate

Applicants should have a good educational background together with a successful proven experience in a secretarial or administrative assistant role.

The position requires a proactive person with excellent organizational skills, a meticulous attention to detail, and a hands-on mentality.

Good communication skills and an open personality are required including the ability to establish pleasant working interfaces both internally and externally.

Very good MS Excel skills are required for the position (familiarity and ability to work with Pivot tables etc.).

Computer literacy, as well as fluency in English (German would be a plus) are a prerequisite for the position.
