Role Responsibility

For our activities in ESTEC, we are currently looking for a Secretary / Administrative Assistant.

The ideal candidate will focus his/her activities on the following tasks:

  • Preparing and processing data, drafting and computing documents (minutes, correspondence,…), spread-sheets, presentations, reports and background files;
  • Pro-actively following up actions, especially in meeting internal and external commitments and keeping deadlines;
  • Paper and electronic records filing and archiving in document databases; information management and data collection where applicable;
  • Organizing logistics for meetings, workshops; supporting the organization of visits and events with internal and external partners;
  • Providing support for the preparation and approval cycle of documents; providing minute-writing services;
  • Supporting the Education Office outreach team with: i) logistics and organizational tasks when requested; ii) web and social media publication when requested.
  • Collecting and consolidating outreach figures, statistics and participation data generated by the Offices’ activities; preparing structured analytical yearly reports;
  • Being the focal point/interface liaising with other services for smooth/effective running of the business; liaising with other secretariats for effective coordination;
  • Maintaining and populating documentation databases; keeping track and storage of documents;
  • Supporting the effective functioning of the Education Office’s team and liaising with local facility/site and other support services as necessary;
  • Day-to-day support to Unit personnel regarding business travel arrangements, leave management, coordination of training;
  • Ordering of office supplies and maintenance of stationary;

 

Successful Candidate

The successful candidate shall have:

Completed secondary education and professional training in administrative or clerical support.

Senior Assistant level with a minimum 5 years’ experience in administrative duties.

The ideal candidate should also have appropriate skills and specific experience in the following fields:

  • State-of-the-art and proven knowledge in area of responsibility at required level.
  • Proficiency in the use of the Agency's information systems, different tools (including CURSA) and applications is an asset.
  • Knowledge of internet development, publication tools and media.
  • Knowledge of the relevant Agency rules, processes and procedures is an asset.

  • Self-Motivation.

Additionally, the successful candidate should have appropriate skills and specific experience in the following fields:

  • Proficient in the English language, both written and spoken; knowledge of another official ESA language is and asset.
  • For site specific functions fluent knowledge of the local national language is also required.
  • Highly proficient with modern electronics office automation tools in particular Microsoft Office suite and electronic mailing (preferably Lotus Notes).
  • Familiarity with ESA working environment in a similar position is a distinct advantage.
