Role Responsibility

Formal and informal communication skills in a multi-cultural, multi-department environment;

  • Planning;
  • Definition of tasks and deliverables;
  • Review of project deliverables;
  • Quality control;
  • Risk assessment and management;
  • Status and problem reporting;
  • Follow-up of decisions and activities;
  • Organisation of teams and work;
  • Human resource management;
  • Prepare and maintain quality plans;
  • Estimation of costs, timescales and resource requirements;
  • Management of execution of projects against time, quality and cost criteria;
  • Management of the change control process gaining agreement for revisions to the project from project owners;
  • Ability to give presentations at all levels (from team members to executive level);
  • Capability of integration in an international/multi-cultural environment, rapid self-starting capability and experience in team working, understanding the needs, objectives and constraints of those in other disciplines and functions;
  • Knowledge and understanding of general trends in the domain of expertise is mandatory;
  • Management of conflicts;
  • Ability to communicate and reach common understanding and agreement with all stakeholders at all organisational levels;
  • Negotiation skills;
  • Communication abilities:
    o Receive and understand instructions;
    o Deliver messages clearly;
    o Report the right information at the right level;
    o Able to deal diplomatically with sensitive matters;
  • Supervisory experience;
  • Leadership capabilities are desirable. These include:
    o Demonstrable leadership capabilities;
    o Demonstrable capability to manage change;
  • Ability to use project management tools and methodologies.

 

Successful Candidate

Educational Qualification:

  • With Higher Studies: The ideal candidate should have 2 years of experience directly related to this position.

  • Without Higher Studies: The ideal candidate should have 4 years of experience, 2 years of which should be directly related to this position.

Domain Expertise: IT project management / service transition management.

Professional Qualification:

  • ISO 20000 and/or ITIL V3 certification is an advantage;
  • Certification in Project Management is required (i.e. PRINCE2 (practitioner), PMI PMP, PMI CAPM);

Role Specific experience:

Mandatory experience of:

  • Transition management in a medium sized IT organisation
  • Transitioning bespoke developments
  • Transitioning COTS implementations
  • Working with onshore/offshore teams
  • Working experience with Atlassian products (Jira, Confluence, Tempo) - desirable;
  • Experience with Document and Content Management systems (Documentum) - desirable;
  • Experience dealing with multiple stakeholders and senior Project Managers;
  • Knowledge of software development methodologies: Agile, SCRUM and Object Oriented programming (Java) software development methodologies - desirable;
  • Raise Change requests & releases and validate quality for approval by changes authorities;
  • Schedule, plan and organise IT resources to ensure effective and successful completion of releases & changes;
  • Knowledgeable in the ITIL v3 Transition lifecycle.

General knowledge & experience: 

  • A third level qualification in Computer Science or other areas relevant to the role is mandatory;
  • Relevant business experience is desirable in any one or more of the following domains:
    • Medicines information;
    • Pharmacovigilance;
    • Regulation.
  • Experience in multicultural organisations is mandatory;
  • Experience working in or with the public sector is desirable;
  • Knowledge and understanding of general trends in the domain of expertise are very desirable;
  • Knowledge and understanding of general trends in IT as a whole are very desirable;
  • Experience of working in a complex environment, including intra muros and extra muros assignments are desirable – unless specified as mandatory in the request for service.

Furthermore, the following general skills are mandatory:

  • Respect the Service Levels Agreements determined by management and/or processes owners;
  • Maintain any relevant knowledge base, technical documents and operational and user guides as necessary;
  • Proactively highlight risks and issues;
  • Proactively strive for continuous improvement of areas under own responsibility and provide proposals to managers and process owners;
  • Ability to see the bigger picture, to identify interrelations and dependencies;
  •  Ability to analyse complex information, with strong attention to detail;
  • Ability to work with cross-functional teams and liaise with process owners as necessary;
  • A highly organised and motivated team player, with strong interpersonal and team working skills, willing to support end-users and colleagues across the stakeholder community;
  • Experience of working with senior management and presenting complex issues using verbal and written methods;
  • Ability to manage own workload by: 
    • Ability to manage one’s own time, even in the face of stressful situations, under pressure and to short deadlines; 
    • Consistently meeting deadlines and delivering high quality work results;
    • Having a good understanding of priorities of own work, those of the team and the organisation; and act where needed to respond proactively to changes in priorities and competing tasks;
    • Driving tasks to closure with a highly developed sense of responsibility.
  • Good communication skills:
    • Excellent verbal and written communication skills;
    • Ability to communicate at all organisational levels;
    • Drafting skills and ability to prepare concise and effective documents, presentations and reports.
  • Open to new ideas and innovative ways of working.

Language requirements:

  • English level C1 is mandatory at Common European Reference Framework (CEFR).
